Privacy Policy
1. Information We Collect
We collect account details (name, email, password, phone if provided), organisation and role data, machine work session data, pay-clock (wage) attendance and timesheet lines, leave and roster data, organisation messaging (broadcasts and direct office↔worker conversations: participants, message body, read state), device information, push notification tokens, web push subscriptions for GroveHQ Office, notification preferences, billing/subscription metadata (plan and seat usage — not card numbers unless a payment provider is later connected), and usage/error logs that help us operate and improve GroveHQ.
2. How We Use Your Information
- Provide workforce tracking, reporting, and organisation management
- Enable bosses/admins to view team activity within their organisation
- Support payroll preparation (timesheet approval and MYOB import-file export)
- Deliver office→crew operational messages on eligible plans
- Send local and remote service notifications (mobile push, email if opted in, and web push for Office when enabled)
- Enforce plan entitlements (Crew / Payroll / Grove)
- Secure the platform and meet legal obligations
We do not sell your personal information.
3. Information Sharing
Data is shared within your organisation (boss/admin visibility), with infrastructure and messaging processors under contract (for example Supabase, Expo/FCM for mobile push, Resend for email, and web-push delivery for Office), and when required by law. Cross-organisation access is blocked by design. Payroll files you download may be imported into MYOB by your organisation — that is controlled by your organisation, not by a live GroveHQ↔MYOB payroll API unless separately offered later.
4. GPS & Location Data
Machine jobs: GPS is recorded while a machine work session is active. Trails are visible to you and your organisation’s boss/admin users.
Pay clock (wages): When you clock in for pay, GroveHQ may collect location at clock-in and periodic GPS points while the pay session is open. This is separate from machine job tracking and is used so your organisation can verify attendance. Boss/admin users can view a wage GPS trail for a pay session in GroveHQ Office. You can deny location permission; pay clock may require GPS when online, with an offline override path when connectivity or GPS is unavailable.
You can deny location permission, but GPS features will not work without it.
5. Notifications & Messaging
We may schedule local device reminders and remote notifications for clock-out reminders, daily summaries, and similar operational alerts based on your preferences. GroveHQ Office users may enable browser (web) push while signed in. On Payroll/Grove plans (and during trial entitlements), organisation messaging includes office broadcasts and direct chats between the office and workers; these may also trigger push notifications.
6. Storage & Security
Data is stored on encrypted cloud infrastructure with role-based access and Row Level Security between organisations. Offline caches sync when connectivity returns.
7. Retention & Your Rights
Active account data is retained while the organisation remains active. After account closure we generally retain data for up to 90 days before deletion (subject to legal/compliance needs). You may request access, correction, export, or deletion via your organisation admin or privacy@grovehq.app.
